Job Purpose

This position supports the Global Head Product Development and handles all office administration in a truly international and dynamic environment. The ideal candidate for this position is able to pro-actively as well as independently manage whole office organization with the right degree of prioritization. The person should be able to deal with senior executives as well as regular associates. Provides superior overall EA support and is willing to travel, as required.

Key Responsibilities

• Organizes entire Product Development office including preparation of streamlined work process
• Prepares international correspondence and communications including agendas, presentations, minutes
• Arranges and coordinates and follows-up on high-level global meetings, teleconferences, video conferences etc. as well as external meetings with customers
• Organizes a complex travel itinerary incl. visa applications and travel reimbursements
• Manages tight deadlines and schedules, coordinates business schedule for Global Head Product Development
• Support of department related tasks/processes including the on-boarding of new team members
• Participates in projects as congress organization and special events, training, international customer visits
• Coordinates the admin team for the Product Development Headquarter functions to ensure balanced workload and harmonised approach

Mindestanforderungen

The ideal candidate will have

• Professional Office Management training
• Fluent in English on business level with excellent communication skills in spoken/written word
• German desirable but not necessary
• Proven experience of running an office on executive level with relevant training and skills in a fast environment
• Previous experience of working in health care industry an advantage
• Highly developed organizational skills, stress resistant and highly flexible. Must be able to handle frequent changes, reprioritisation, delays or unexpected events; multi-tasking
• Basic financial, economic and commercial under-standing required
• Sensitive handling of information; maturity to deal with matters of confidentiality and sensitivity; integrity
• Must be detail-oriented as well as self-reliant, able to work with little supervision and guidance
• Strong verbal and written communication skills
• Computer literate with advanced proficiency in desktop applications e.g. Microsoft Office Word, PowerPoint, Excel, Lotus Notes; skilled user of internet
• Sensitivity to multi-cultural/multi-location organization
