Assistant Head Global Project & Program Management (m/f) - Sandoz - Holzkirchen (near Munich) Germany

Job Purpose

You will support the Head of Global Project and Program Management and handle all office administration in an international and dynamic environment. The right candidate will be able to proactively as well as independently manage whole office organisation with the right degree of prioritization and will be able to deal with a variety of customers in a cross-functional and international environment.

Key Responsibilities

• Professional office management, administrative and organisational support
• Prepares international correspondence and communications including agendas, minutes, presentations
• Arranges, coordinates and follows-up on high-level global meetings, teleconferences etc.
• Support of department related tasks/processes including the on-boarding of new team members
• Participates in projects as congress organization and special events, training, international customer visits
• Organization of complex travel itineraries incl. travel expenses
• Manages mail as well as emails and takes action on behalf of manager or whole team when appropriate by proxy
• Manages tight deadlines and schedules in multiple tasks, coordinates business schedule for Head Global Project and Program Management

Mindestanforderungen

The ideal candidate will have

• Background in office management with appropriate training, experience in pharmaceutical industry preferred
• Fluent in English on business level with excellent communication skills in spoken/written word
• German highly desirable but not essential
• Ability to deal appropriately with a variety of customers on international level in different organizational units
• Proven experience of running an office on executive level with relevant training and skills in a fast environment
• Highly developed organisational skills and ability to work structured, precisely and independently. Must be able to handle frequent changes, reprioritisation, delays or unexpected events; multitasking
• Ability to take on project management activities as required
• High level of energy and pro-activeness, creative problem solver and flexible mind-set
• Must be detail-oriented as well as self-reliant, able to work with little supervision and guidance
• Sensitive handling of information; maturity to deal with matters of confidentiality and sensitivity; integrity
• Strong verbal and written communication skills, maturity to deal with matters of confidentiality and sensitivity.
• Computer literate with advanced proficiency in MS Office desktop applications.
